Position Summary

Responsible for accurately and efficiently processing payroll for employees while ensuring compliance with relevant laws and regulations. This position will work closely with our HR team to address any payroll-related inquiries and maintain accurate employee records. In addition, responsibilities will include the administration of U.S. accounts receivable collections under direction from Corporate.  Hybrid with flexible schedule. This position is located in Grand Island, NY. 

Responsibilities will include:

  • Process weekly & bi-weekly payroll accurately and in a timely manner.
  • Verify and reconcile timesheets, attendance records, bonuses, commissions, and other payroll-related data.
  • Calculate and process payroll deductions, including taxes, benefits, and garnishments.
  • Ensure compliance with federal, state, and local payroll regulations and laws.
  • Respond to employee inquiries regarding payroll matters in a timely and professional manner.
  • Collaborate with HR to maintain accurate employee records, including entering new hires, terminations, changes in salary, status, and benefits.
  • Generate and distribute payroll reports as needed.
  • Assist with year-end payroll activities, including W-2 and 1099 preparation.
  • Provide support in analysing, planning, and managing annual budget allocations.
  • Stay informed about changes in payroll regulations and best practices.
  • Collaborate with HR and finance departments to resolve payroll discrepancies and issues.
  • Maintain confidentiality of payroll information and ensure data security.
  • Provide support for special payroll projects and initiatives as assigned.
  • Other duties as assigned.
  • Contacting customers to collect outstanding payments on invoices and resolve any issues.
  • Using phone, email, or mail to follow up with customers and arrange payment plans.
  • Investigation into reasons for late payments and disputes.
  • Submitting regular updates on the status of unpaid accounts and repayment progress.
  • Answering questions about billing and payment history.

Required Experience & Knowledge

EDUCATION/EXPERIENCE:

  • Bachelor’s degree in accounting, Finance, Business Administration, or related field preferred.
  • 3+ years of experience in payroll processing and administration.
  • Extensive experience with ADP software is required.
  • Familiarity with SuccessFactors is a plus but not required.
  • Strong understanding of payroll principles, regulations, and best practices.
  • Proficiency in Microsoft Office Suite, particularly Excel.

 

SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC.:

  • Excellent attention to detail and accuracy in data entry.
  • Relevant certification (e.g., Certified Payroll Professional, Fundamental Payroll Certification) is a plus.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Exceptional interpersonal and communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Team player with a positive attitude and willingness to learn.

 

The salary range for the position of Payroll /AR Collections Administrator is $60,000-$75,000. Many factors go into determining employee pay within the range including prior experience, current skills, location/labor market, internal equity and other factors as permitted by law. This salary range is provided in good faith and is intended to display the value of the company's base pay compensation for all statewide locations across the United States. Salary is dependent on a multitude of factors, including but not limited to the physical worksite location, candidate's skill set, level of experience, education, and internal peer compensation comparisons.
