Position Summary
The Sales Support Specialist provides critical administrative and operational support to the sales team within the life sciences industry. This role focuses on preparing and managing quotes, coordinating with internal departments, and ensuring the smooth execution of sales processes. By organizing resources and supporting the sales team, the Sales Support Specialist enables the company to deliver exceptional service to clients and achieve its sales objectives.
Responsibilities will include:
Quote Management:
- Prepare, review, and manage client quotes, ensuring accuracy and alignment with company pricing policies.
- Collaborate with sales representatives to gather necessary information for quotes and proposals.
- Maintain system for tracking and updating quotes, ensuring timely follow-up.
Sales Team and Customer Support:
- Provide administrative support to the sales team, including scheduling meetings, and preparing sales materials.
- Assist with the creation of presentations, reports, and sales documents.
- Act as a point of contact for internal inquiries related to sales processes and client accounts.
- Address client inquiries and assist in resolving issues related to quotes, orders, and delivery timelines.
- Ensure high levels of customer satisfaction by delivering prompt and professional support.
Coordination and Communication:
- Liaise with cross-functional teams (e.g., operations, logistics, and finance) to ensure the seamless processing of orders and contracts.
- Compile and share product demand from sales teams to procurement/planning
- Manage sample request creation and follow-up
- Support the onboarding of new customers by facilitating communication between departments.
- Share insights from customer interactions to inform marketing campaigns, product development, and sales strategies.
- Monitor order status and provide updates to the sales team and clients as needed.
Data and System Management:
- Maintain accurate and up-to-date client information in CRM systems.
- Generate sales reports and analyze data to provide insights for the sales team.
- Assist accounting department with inquiries relating to billables and receivables.
- Assist in the documentation and refinement of sales processes and workflows.
The salary range for the position of Sales Support Specialist is $55,000 - $65,000 per year. Many factors go into determining employee pay within the range including prior experience, current skills, location/labor market, internal equity and other factors as permitted by law.
Required Experience & Knowledge
- Bachelor’s degree in business administration, Chemistry, or a related field (or equivalent experience).
- 2+ years of experience in sales support, customer service, or administrative roles, preferably in the life sciences or manufacturing industries.
- Proficient in Sage, SFDC and CPQ and MS Office Suite (Excel, Word, PowerPoint).
- Strong communication and interpersonal skills with a customer-centric mindset.
- Detail-oriented, with a focus on accuracy in quotes and documentation.
- Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
- Proficient in English communication, written and verbal.
- Self-motivated and results-driven, with excellent organizational and multitasking skills.
- Excellent time management skills and the ability to meet deadlines.
- Must be highly detail-oriented and organized, able to work both independently and as a team player with a positive attitude.
- Effectively communicate with peers, interdepartmental colleagues, and clients.
- Proficient use of standard office meeting/communication software including Teams and SharePoint.
- Experience in developing time management strategies to ensure work is performed within required timelines.
