Position Summary
The Sales Support Specialist provides critical administrative and operational support to the sales team within the Specialty Chemicals group. This role focuses on preparing and managing quotes, coordinating with internal departments, and ensuring the smooth execution of sales processes. By organizing resources and supporting the sales team, the Sales Support Specialist enables the company to deliver exceptional service to clients and achieve its sales objectives.
Responsibilities will include:
Quote Management:
- Collaborate with Account Managers to gather necessary information for quotes and proposals.
- Prepare, review, and manage client quotes, ensure accuracy and alignment with company pricing policies.
- Maintain system for tracking and updating quotes, ensuring timely follow-up.
Sales Team and Customer Support:
- Provide administrative support for the sales team, including preparation of presentations, sales reports and scheduling of client conferences and meetings.
- Be primary back up for outside sales when they are out of office.
- Act as a point of contact for internal inquiries related to sales processes and client accounts.
- Address client inquiries and assist in resolving issues related to quotes, orders, and delivery timelines.
- Ensure high levels of customer satisfaction by delivering prompt and professional support.
Coordination and Communication:
- Liaise with cross-functional teams (e.g., operations, logistics, and finance) to ensure the seamless processing of orders, contracts and on time deliveries.
- Compile and share product demand from sales teams to procurement/planning
- Manage, track and follow up on sample requests.
- Support the onboarding of new customers by facilitating communication between departments.
- Share insights from customer interactions with marketing and sales leaders.
- Monitor order status and provide updates to the sales team and clients as needed.
The salary range for the position of Sales Support Specialist is $70,000 - $80,000 per year. Many factors go into determining employee pay within the range including prior experience, current skills, location/labor market, internal equity and other factors as permitted by law.
It is preferred that the candidate be local to the Port Washington office for in-person collaboration with the team.
Required Experience & Knowledge
- Bachelor’s degree in business administration, Chemistry, or a related field (or equivalent experience).
- 2+ years of experience in sales support, customer service, or administrative roles, preferably in the specialty chemical distribution or chemical manufacturing industries.
- Proficient in Sage, SFDC and CPQ and MS Office Suite (Excel, Word, PowerPoint).
- Excellent interpersonal and organizational skills with a customer-centric mindset.
- Highly motivated, detail-orientated & results driven, with a focus on accuracy in quotes and documentation.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks.
- Proficient in English with strong written and oral communication skills.
- Ability to set priorities and work with minimum supervision
- Be a highly responsive, proactive team player while maintaining a positive & respectful attitude.
- Effectively communicates with peers, interdepartmental colleagues, and clients
- Understanding of systems applicable to work performed
- Proficient use of standard office meeting/communication software including Teams and SharePoint
- Experience in developing time management strategies in a fast-paced environment, to ensure work is delivered within required timelines.
