Position Summary

The Logistics & Customer Service Representative manages customer queries, sales orders, complaints and processes product and/or manufacturing orders. You will be asked to process sales and purchase orders, modifications, shipments, warehouse instructions, product imports and escalate complaints across a number of communication channels. 

Responsibilities will include:

Sales & Customer Service

  • Maintain professional and responsive customer communication across all channels

  • Handle inquiries, complaints, and ensure customer satisfaction

  • Process and manage customer orders (confirmation, delivery notes, invoicing)

  • Maintain accurate records of customer interactions

  • Ensure ERP system accuracy and timely updates

  • Provide feedback to improve customer service processes

Order & Delivery Management

  • Review and confirm incoming customer orders

  • Plan and schedule deliveries

  • Monitor stock availability and coordinate with supply planning

  • Plan shipments with warehouse and logistics partners

  • Track shipments and document deliveries

  • Ensure on-time delivery performance

Cross-Functional Coordination

  • Collaborate with Finance on foreign currency hedging

  • Coordinate with Supply Planning, Procurement, Quality, and Warehouse teams

  • Ensure material compliance with customer specifications

Financial & Vendor Control

  • Review and approve invoices from service providers and manufacturers

  • Support vendor-related claims and inbound processes (supplier to warehouse)

  • Report vendor and service provider performance issues

Additional Responsibilities

  • Contribute to ERP master data maintenance as needed

Required Experience & Knowledge

  • High school diploma, general education degree or equivalent.
  • >3-5+ years’ experience in customer service or similar functions.
  • Ability to stay calm when customers are stressed or upset.
  • Comfortable using computers.
  • Strong MS Office skills, including expertise MS Excel
  • Proficiency in customer service software - Technology tools expertise (ex. SAP, SAGE, SQL, Access, Tableau, TMS tools)
  • Excellent interpersonal skills
  • Fluency in English, additional European languages are a plus
  • Working knowledge of customer service software, databases and tools
  • Strong client-facing and communication skills
